Othersea Bikini: organising brand events with a small team

To structure its events without tying up all its internal resources, Othersea Bikini relies on WeezTicket and WeezAccess. This allows the brand to stay in control of every detail, from ticketing to welcoming attendees on site, while its team remains fully focused on designing its collections.

Founded in 2015 by Joëlle and Marie-Laurence, Othersea Bikini is a Quebec swimwear brand producing its collections locally.

Fashion shows, private parties and seasonal promotional events: the brand organizes several types of events throughout the year. Ticketing setup, pricing, budget tracking and access control all need to fit easily into the day-to-day work of an already busy team of 11 people.

1. Create a ticketing page with no technical skills or dedicated training

With a team focused on designing collections, event organisation cannot depend on a single person: it needs to be something any member of the team can manage, without specific technical skills or prior training.

With WeezTicket, getting started takes just a few minutes, allowing Othersea to spread the workload across the year and across several team members rather than relying on a single person.

Being autonomous does not mean being left without support. If they have a question, the team can rely on our online help centre or our customer service team to resolve any issues. This combination allows Othersea to move at its own pace, without ever being left alone with the tool.

2. Easily manage different event formats

Throughout the year, Othersea organises different types of events, each with a specific objective:

  • raise awareness of the brand,
  • build loyalty within its community,
  • strengthen its relationship with that community.

As participation options and pricing can vary from one event to another, the team needs to be able to create offers tailored to each format without making them more complicated to manage.

Joëlle and Marie-Laurence use the wide range of configurable pricing options available in our solution to structure their strategy around 2 levels: standard access, which is usually free, and a VIP option including partner gifts or priority access to the new collection.

For recurring formats, such as yoga sessions organised with a partner studio, duplicating an existing event means there is no need to start from scratch each time. The Othersea team simply uses the first event created for that format as a template: they duplicate it, update the information that changes (date, times, available places) and refresh the visuals on their customised mini-site before publishing the new edition.

To give all their upcoming events greater visibility, the founders also use the multi-event module. This feature brings all of Othersea’s upcoming events together on a dedicated page, giving their community a clear overview of the next dates.

3. Manage the budget without taking unnecessary financial risks

With limited financial resources, each event represents a risk: misjudging the budget can have a significant impact on Othersea’s cash flow. The brand therefore needs to be able to cover its costs without committing to uncontrolled spending, while still keeping some flexibility to enhance the attendee experience.

To do this, Othersea identifies its fixed costs in advance (food, drinks, logistics) and sets the ticket price based on that amount, not to generate a profit, but to cover costs and create some additional room in the budget. This margin can then be used, for example, to improve communication visuals, increase the social media advertising budget or further enhance the on-site experience.

To adjust their decisions as sales progress, the founders rely on the WeezTicket dashboard, which allows them to track registrations in real time. This desire to keep financial risks under control also applies to free events, for which they wanted to use a solution with no impact on their cash flow.

With WeezTicket, no fees are charged when an event is free. For paid tickets, fees are $0.99 including tax per booking, plus 2.75% excluding tax per ticket sold. Revenue is then paid out every 15 days, allowing Othersea to anticipate its spending more effectively and manage its cash flow with greater confidence.

4. Streamline access control at VIP events

At events held in private clubs, the distinction between different ticket types needs to be immediate. This is particularly important as the team cannot afford to let queues build up and wants to give attendees, who may become future customers, the best possible experience at its events.

With the WeezAccess app, available on mobile, each ticket has a QR code that is scanned at the entrance: red means no, green means go. Validation is instant, with no ambiguity between ticket types and no prior technical training required.

To avoid missing any sales opportunities when someone arrives without a ticket, the organizers chose to use a WeezTicket box office. Each on-site sale can therefore be processed without any additional administration, as the information is synced instantly. This means the team does not miss out on any sales and does not have to switch between several tools on the night of the event.
