Burning Mountain: an all-in-one technical deployment at the top of the Swiss Alps

In the heart of the Swiss Alps, the Burning Mountain Festival brings together thousands of participants every summer for 4 days of electronic music. In this isolated setting, the organisation relies on the Weezevent ecosystem to guarantee a simple and efficient experience, even in the mountains.

At the end of June, Burning Mountain transforms a remote corner of the Swiss Alps into a timeless bubble of trance music, art installations and immersive experiences. For four days, the festival brings together several thousand participants for an immersive experience combining mountains and music.

In this exceptional setting, logistics organisation is a major challenge. Between difficult access to the site, the lack of shops nearby and the large crowds from the moment the gates open, every detail counts. To support the organisers, Weezevent deployed a system combining ticketing, access control, cashless payments and CRM, ensuring fluidity and reliability throughout the festival.

Combining ticketing and cashless payment for a smooth and customised purchasing experience

From the moment tickets went on sale, the organising team wanted to structure sales in a clear way, while enriching the purchasing experience. The aim was to offer much more than just a ticket during the booking process. 

Thanks to WeezTicket, several pricing phases could be planned, including early bird and standard rates, while relying on a dynamic queue capable of smoothly managing a massive flow of simultaneous connections.

During the same process, complementary products such as camping packs and cleaning services were offered in an intuitive manner, without any complexity for the user. Connected to WeezPay, the system provided a unified view of sales, simplified logistical preparation and ensured a clear and smooth journey for participants, from purchase to entry on site.

Streamlining access to an atypical site and controlling associated services

At the Burning Mountain Festival, the campsite is fully integrated into the site, with no physical separation. However, several access control areas have been set up. Participants access the site via different points: car park, van area, main entrance, and can benefit from specific options, such as sleeping packs to be collected on site. The organisers therefore needed a system capable of precisely controlling access while ensuring the error-free delivery of the services booked.

It was in this context that WeezAccess was deployed to orchestrate multi-level access control based on connected NFC readers. Each RFID wristband scan validated intra-site access rights and associated services in real time, from simple access to the camper van area to the delivery of reserved equipment. Thanks to detailed back-office configuration by the project manager and a local network adapted to the constraints of the terrain, everything was ready before the participants arrived: no lists to import, no manual validation. Information flowed, traffic was controlled, and each person received what they were entitled to.

Encouraging preloading and rewarding responsible behaviour

In this isolated environment, where network connections could be unstable and there were no local shops, the Burning Mountain organisers had to plan their logistics carefully. It was essential to encourage participants to top up their cashless accounts before arriving to avoid queues at the cashless banks. At the same time, the organisers were keen to involve festival-goers in a responsible approach to waste management, without resorting to external service providers.

Three days before the event, a targeted e-mail campaign via WeezPay resulted in a fourfold increase in preloaded amounts compared to 2023. It was also accompanied by an ecological measure: a CHF 10 cleanliness deposit, included in the ticket price, was credited to the cashless account of anyone who returned their rubbish bag. By combining advance payments with incentives for responsible behaviour, the organisers laid the foundations for streamlined logistics and a more sustainable festival.

Quickly informing participants in the event of logistical unforeseen circumstances

The weather forced the organisers to delay the opening of the festival by several hours on Thursday, the day when most participants arrived. It was imperative to quickly and efficiently inform the thousands of people on their way, in a context of limited network coverage and without a previously tested communication system.

By leveraging the interconnection between WeezTarget and WeezTicket, the organisers were able to send a targeted information campaign to all participants in a matter of minutes without any manual data export or import. This native link between ticketing and CRM enabled a high level of responsiveness, instantly disseminating instructions related to the delayed opening and weather conditions. A smooth, easy-to-activate solution that played a key role in the smooth management of this logistical contingency.
