New Year’s Eve is approaching fast. For the occasion, whether you’re an individual or a professional, whether you’re hosting 10 people or 1,000, an online ticketing system will help you manage your New Year’s Eve party.
Summary
1. You are an individual:
If you want to organise your New Year’s Eve party as an individual, Weezevent can help you. In this article, we present the settings to choose for your online ticketing system.
Mini-site
As an individual, the ticketing system for your New Year’s Eve party is not meant to be seen by everyone, only by your guests, so that they can make a financial contribution, inform you of what they intend to bring, find out relevant information about the party, and so on.
We therefore advise you to set up a private mini-site. This means your ticketing system will only be accessible to people who know the password.
Tip: Tip: Ask your guests not to share the password to your mini-site. You’ll always have the option to change it for confidentiality reasons.
To set up your private mini-site, go to the tab Sell > On your mini-site, then tick The site is visible to those who know the password in the tab Mini-site address and security.
Event information
You can take advantage of your ticketing system to inform your guests of the schedule for the evening by specifying the menu, for example. You can also give them information about the location of the event by informing them of, say, the nearest car parks or underground stations.
Tip: New Year’s Eve always involves a dress code, so don’t forget to specify the style of dress required for this end-of-year party.
To fill in your description, go to the tab CONFIGURE > Event details.
Price
In your case, setting a price will mainly serve to contribute to covering costs (food, drinks, equipment rental, etc.). The best choice is to opt for ‘pay what you want’ pricing. This type of price can change to give your guests the option to attend according to their resources.
To make sure that the costs you’ve paid in advance will be covered, we advise you to apply a minimum threshold which will mean a minimum contribution amount.
Tip: You can add a description to your price. It’s up to you to be as convincing as possible so that your guests understand the importance of contributing to the event’s costs.
To set up your price, go to the tab CONFIGURE > Ticket types and selling and follow the steps in this article.
Form
At a New Year’s Eve party, it’s always interesting to know who’s bringing what, whether it’s a dessert, drinks or even furniture (chairs, tables, etc.).
With your Weezevent ticketing system, you can attach a form to your price. Within this form, you can create your own custom field which asks your guests what they will bring to the party. For the type of answer, use a text field.
Tip: You can add a comment to your custom field, which will allow you to specify what you want to know.
To set up your form, go to the tab CONFIGURE > Forms and follow the steps in this article.
Quantity limit
As an individual, you can’t welcome everyone to your event, so setting a limit is essential to avoid being overwhelmed on D-Day.
Tip: You can display the remaining places on your ticketing system to inform your guests (CONFIGURE > Ticketing options).
To set up your limits, go to the tab CONFIGURE > Ticket types and selling and follow the steps in this article.
Invitation
Some of your guests may have already paid by cheque, cash or other means of payment, meaning you can create an invitation for them.
This invitation will be in the form of a ticket on which information about your event (address, time, date, etc.) will appear. Your guests will therefore have all the information they need to attend your New Year’s Eve party, and you will be able to see your real number of attendees (ATTENDEES > Manage attendees) and avoid exceeding your limit.
To send your invitations, go to the tab COMMUNICATE > Invitations and follow the steps in this article.
2. You are a professional organiser
If you’re a professional organiser, the Weezevent ticketing system is also perfectly suited to your New Year’s Eve party. We present the main settings to use for this type of end-of-year party.
Event information
A New Year’s Eve party is often an occasion to set a specific dress code. When you create your Weezevent ticketing system for this event, use the description to specify the dress code for your guests.
To fill in your description, go to the tab CONFIGURE > Event details.
Prices
As for your party’s ticket prices, you can set up different prices such as ‘entry with meal’, ‘entry without meal’, ‘entry with drink’, and so on.

Cross-selling
During the event, will you want to offer drinks to your attendees? Thanks to cross-selling, you can provide them with your drinks menu when they buy their ticket. This will make it easier for you to predict your attendees’ needs.
To set up cross-selling, go to the tab TOOLS > Catalogue and follow the steps in this article.
Quantity limit
Don’t forget to apply a limit on the number of attendees on New Year’s Eve. This limit can be based on the capacity of your room, your equipment and resources, and so on.
Tip: You can display the remaining places on your ticketing system to inform your guests (CONFIGURE > Ticketing options).
