Festival Vins & Histoire de Terrebonne: streamlining a tasting event

By combining WeezTicket, WeezAccess and WeezPay, Festival Vins & Histoire structured its organization, replaced paper tasting coupons with digital credits and maintained a clear view of all on-site activity.

In action:
  • +2 500 attendees
  • +60 devices deployed
  • +30 vendors

At the Île-des-Moulins in Terrebonne, the Festival des Vins et Histoire brings together exhibitors specialising in wine and spirits for a two-day tasting event.

For the organizing team, the challenge goes beyond selling entry tickets. The tasting experience needed to be integrated into the attendee journey, while moving away from paper coupon management.

Build a ticketing setup tailored to the tasting experience

For Festival Vins & Histoire, the ticket needed to include a tasting credit volume corresponding to the chosen package. The challenge was to offer several clearly structured options that attendees could understand easily, without adding complexity to on-site management on the day.

The organizing team configured their offer through WeezTicket. Prices were structured across several packages (Discovery, Amateur, Connoisseur, Festive), each linked to a defined credit volume. For example, 10 credits for the Discovery package and 35 for the Amateur.

At the access control point, the wristband was paired to the purchased ticket and the corresponding credits were automatically loaded onto the device. The process took a matter of seconds: ticket scan, wristband chip scan, wristband fitted. On the day, attendees could access the site quickly and spend immediately, with no intermediate steps.

Replacing tasting coupons with a cashless wristband

Using paper coupons at Festival Vins & Histoire involved significant handling. Distributing them, checking them at each order and collecting them afterwards added complexity for both the teams and the vendors and slowed down service at the stands. As footfall increased, these constraints became more visible, with a growing risk of errors and losses.

To simplify the operation and keep the experience flowing, the organization chose to fully digitalize tasting credits using WeezPay and RFID technology. Credits were debited directly at each vendor stand at the time of purchase, and attendees whose balance ran out could top up their wristband online or on site.

Transactions took seconds via a simple scan of the RFID wristband on the vendor’s terminal. Unlike card or cash payments, there was no change to handle, no PIN to enter and no terminal delay, which helped to keep service flowing, maintain consistent throughput at the stands, and, as a result, increase spending.

By centralising all transactions on a single platform, the organization had a more reliable view of activity during the event, with clear visibility across all transactions and the ability to analyse purchasing behaviour precisely to optimize future editions.

Produced in white-label, the wristband matched the festival’s visual identity and became a fully integrated part of the experience. Attendees kept it after the event, extending the memory and strengthening their connection with the festival.

Managing payments across thirty vendor stands from a single system

With over thirty wine vendors to equip, the organizing team needed to guarantee fast payment processing at every stand, simple enough for any vendor to pick up quickly, while maintaining a view of overall activity through a single interface.

Easy-to-use terminals for vendors

To meet this need, all kiosks were equipped with pre-configured terminals. All products and prices were set up through the management interface by the organizing team and synchronized automatically to all terminals.

Vendors had no configuration to carry out on-site. They could access their product catalogue directly on screen, with visuals to aid navigation, and process payments in seconds. The interface was designed to allow quick adoption, even for users with little prior experience of payment tools.

Each vendor also had access to their stand’s activity through a dedicated interface, allowing them to view only their own sales statistics.

In parallel, the organization maintained a complete view of the entire operation from their administrator dashboard, with all transactions feeding through in real time and a precise picture of sales volumes and activity by kiosk.

This centralisation made it straightforward to check individual transactions when needed and to apply parameters in line with pre-agreed settings, such as price controls, ensuring consistent pricing across all stands.

By having a single tool to oversee all transactions, the organization could follow the event as it unfolded without relying on updates from the floor, with a clear level of detail to anticipate, adjust where necessary and prepare future editions based on reliable data.
